Visionary scheduling and compliance for rural EMS operators

Crew Quarters is a web application designed for EMS crew scheduling, communication, document management, and regulatory compliance. Each crew member has a secure login with custom permissions, while administrators can manage employees and assign privileges per location. The system supports unique shift structures, allowing crew members to pick up, trade, split shifts, or request time off. An internal messaging system enables private communication through direct messages, email, or text. Crew members can access and download documents, report and track equipment and safety issues, including sharps incidents, and log daily equipment checks for each vehicle, including narcotics usage and waste. The platform also streamlines credential management, allowing crew members to upload certifications and receive private reminders when updates are required. All records are stored in a database that generates reports for regulatory compliance.

Crew Quarters has been running continuously since 2005, works seamlessly across desktop, tablet, and mobile, and even has an App Store counterpart.

Process

This long-running product began with a simple question: "Can our employees use a website to schedule themselves?" In the early 2000s, this idea was ahead of its time. Since that initial conversation, I have been the sole architect, developer, and designer of Crew Quarters, which launched in 2005 and remains in operation today. A major overhaul in 2014 modernized the system with a mobile-first design, added long-requested features, and improved the overall user experience. The upgrade was seamless—existing data was fully transferred, and all previous features remained intact while introducing powerful new tools. Many aspects of the system could stand alone as separate products, but they are built to work seamlessly together. Crew Quarters powers two rural EMS operators across three states and was even adapted for a taxi service at one point. By streamlining scheduling and compliance, the system has saved operators countless hours—and in critical moments, and has literally been a life-saver.
